Faced with the complexity of coordinating donations, projects, and volunteer programmes across multiple countries, Misiones Salesianas needed a more integrated and efficient operating model.   • Decentralised management of members, donors, and campaigns. Information related to donations, acquisition campaigns, and retention activities was spread across multiple tools, making traceability and analysis difficult.
  • High operational workload associated with payment and tax administration processes. SEPA direct debits, returns, and tax reporting requirements required significant manual supervision, increasing the risk of errors.
  • Coordinating and monitoring projects across multiple countries and locations. Social project funding required clear traceability from source to final execution.
  • Need to integrate critical external systems used in daily operations. The online store, website, invoicing, and logistics processes operated through separate systems.
Solución
  • Salesforce Service Cloud with NPSP was implemented as the central platform to unify donor and member management. Marketing Cloud was also integrated to automate acquisition and retention campaigns, improving data quality and ongoing communication.
  • Full automation of the SEPA process and tax reporting workflows within Salesforce, including XML payment file generation and automated processing of returned transactions based on banking codes, significantly reducing operational workload.
  • The Project Management Toolkit (PMT) was implemented to plan and monitor projects, milestones, tasks, and funding. Automatic allocation of funds from campaigns and donations to specific projects was configured, ensuring rigorous and auditable financial control.
  • Integrations were developed with WordPress (forms), WooCommerce (online store), Odoo (invoicing), and customised logistics modules for warehouse, inventory, and shipment management. This created a unified operation and eliminated manual duplication.
